Booking Conditions 2017

Terms and Conditions for Booking Online

Passports
You are responsible for ensuring that all necessary travel documents are valid and effective. You will need a current passport for travel outside the UK. Some passport holders may require visas for some of the countries we visit. You are responsible for obtaining the correct and valid visas.

Insurance and Health
Under EEC regulations you must have insurance to travel to Europe. Travel insurance can be purchased from us upon booking.

Booking a Tour
When booking a tour you must sign the booking form and pay a non-refundable deposit which will be shown on the on linebooking form.,. Your deposit is your only commitment until 4 to 6 weeks prior to departure. Your receipt will tell you when the final payment is due. Upon receipt of your deposit we will send or give you a receipt for your booking, final payment is due 4 to 6 weeks prior to departure. No invoices or reminder are sent. If the balance remains unpaid we reserve the right to cancel your booking and make a cancellation charge as shown below.

Changing a booking
If after making your booking and receiving confirmation from us, you wish to change to another one of our holidays or alter your booking to another date, we will do our up most to make the changes provided notification is received in writing 15 days prior to departure. This must be accompanied by an amendment fee of 10 (with a maximum charge of 32 per booking).

Cancellation of a booking
If you or any member of your group wish to cancel your holiday, you must notify us in writing. The date of cancellation is the date that your written confirmation is received in the booking department of European Encounters. The person who signs the booking form must also sign the notification of cancellation. Cancellation charges will apply as per the scale below.

These are our standard cancellation charges unless otherwise noted on the tour you are booking.


Cancellation Fee as a % of total holiday cost before insurance and optional tours

Payment is accepted by cash, cheque and most major credit cards.

In certain circumstances we may have to cancel your holiday. If this should happen we would return to you all the money you have paid us.

We will not cancel your holiday during the three weeks prior to the departure date unless:
You have not paid for your holiday in full
Your holiday is influenced by events beyond our control such as war or threat of war, riots, epidemics, bad weather, technical problems to transport, closure of ports, terrorist activities or government action or similar events beyond our control.
In the unlikely event that the number of passengers booked on the tour is insufficient due to lack of bookings or cancellations.

After departure if the running of the tour is hindered by events beyond our control i.e. strikes, port closures, breakdowns of public transport etc. We will not be held liable for compensation, payments or refunds. We reserve the right to change the itinerary if events arise where the management deems it necessary to alter the itinerary to ensure that the tour runs more efficiently.

On the rare occasions when the number of passengers on a tour is less than 20 and management deems it so, it may be necessary to use smaller coaches which do not have all the facilities of the larger coaches. We reserve the right to do this. All our coaches are non-smoking coaches. Consumption of Alcohol is not permitted on the coach.

If for reasons beyond our control we have to change your hotel we will do all within our power to substitute the booked hotel with another of the same standard. All our hotels are minimum 2 stars. Prices are based on 2 people sharing a room. Single rooms are subject to a single supplement. Triple rooms are usually available. However sometimes it may not be possible to provide triple rooms due to the hotel availability. Single travellers who do not wish to have a single room will be put in a twin or triple share. If it is not possible to share, a single supplement will need to be paid.

Complaints
If you have a complaint during your holiday please immediately inform your tour leader who will do his/her best to rectify the problem, if your problem cannot be put right on the spot, you must record the details of the complaint with your tour leader. We will not consider any claims if this procedure is not adhered to.

We must point out that European Encounters  reserve the unconditional right to refuse a booking or terminate a passenger’s holiday in the event of unreasonable conduct.

You are responsible for ensuring that you are at the correct departure point at the correct time. We cannot be held liable for any loss or expense incurred if you are not at the departure point at the correct time.

We will carry out the itinerary as printed, unless for reasons beyond our control it becomes necessary to reschedule or alter part of the itinerary. We reserve the right to do this if necessary. We also reserve the right to alter or reschedule the itinerary if the management judges that certain events arising will hinder or impair the smooth running of the tour. 

Concert Tours
If the band cancels a concert tour within 7 days of the performance we will refund you the cost of the concert ticket. The tour will still run but without the concert. If you do not wish to do the tour you will have to claim your refund through your travel insurance (such insurance being compulsory for travel within the EU).

When you make your booking and pay your deposit, you are making your booking and contract with us and accepting the booking conditions as outlined on this page.

Published running times of services are estimated. Services (i.e. Ferries, trains) are sometimes delayed due to industrial action, breakdowns, bad weather etc. We will not be held liable or accept responsibility for delays caused by any form or breakdown that occurs, unless it is due to negligence by European Encounters  or its suppliers or employees.We do try and book you on trains and flights at your requested times but sometimes this may not be possible so your requested times can not be guaranteed but we will do our best to book your train/flight as close as possible to the times you request.

Entrance Fees
Unless stated no entrance fees are included in the tour price.

Taxes, Service Charges
Unless otherwise stated these are included in the tour price.

Tipping
Tipping is part of the Travel scene. If you are satisfied with the service provided
